## What an AI call agent can do today

Until recently, an AI agent on the phone was obvious within one sentence. Today latency is low enough for pauses to feel natural, speech recognition handles accents and background noise, and the agent can look things up mid-conversation. The genuinely useful use cases are narrower than the marketing suggests, and that is fine:

- **Answering missed calls**: after hours, at lunch, or when the line is busy.
- **Qualification and routing**: the three or four questions a person would ask, answers saved to the CRM, and only relevant calls passed to the team.
- **Appointment booking**, with live calendar access to confirm a slot in the same call.
- **Outbound follow-up** on warm contacts: confirming appointments, checking a quote arrived, collecting a missing document.

## How it works

1. **Speech recognition**: The caller’s voice is transcribed in real time (speech-to-text).
2. **Rule-bound language model**: An LLM constrained by your business rules and grounded in your data decides what to say. For anything factual (prices, availability, calendar, CRM) it calls dedicated tools instead of making things up.
3. **Speech synthesis**: The answer is spoken in a natural voice (text-to-speech), in English or Italian.
4. **Telephony and integrations**: The system is connected to your business number, calendar and CRM, with instant handover to a person when needed.

## The rules that make a voice agent trustworthy

- It says it is an automated assistant in the first sentence: a matter of trust, and also a transparency obligation under the EU AI Act.
- It never invents prices or availability it has not checked.
- It hands the call to a person, or promises a callback, as soon as a request is out of scope.
- It logs transcripts and outcomes, so the calls that went badly can be reviewed every week.

## How to start

Start with one call type at one time of day, for example after-hours calls or the overflow when the line is busy. Measure the number that matters to the business (calls answered, leads captured, appointments booked) and expand only when that number moves.

## Frequently asked questions

**Will callers know they are talking to an AI?**

They should: the agent says so in its first sentence. Almost nobody minds when told, and everybody minds when they find out on their own.

**What happens when the agent cannot answer?**

It hands the call to a person, or takes the details and books a callback. An agent that cannot hand over traps the caller, and must be avoided.

**Which languages does it speak?**

English and Italian. Other languages can be evaluated case by case.

**Does it integrate with my CRM and calendar?**

Yes, through the APIs of the systems you already use: the agent reads and writes data during the call, instead of leaving notes for someone to retype.

**Does it replace staff?**

No. It is the colleague who answers when nobody else can, takes a careful message, and never forgets to write it down.
